Maersk Oil Brazil is looking for an Administrative Analyst
Local Position
You will be working in a challenging, fast moving, interesting and highly rewarding environment while being exposed to a broad field of assignments in the oil and gas industry.
Reporting to the Administrative Coordinator, this position is responsible to assist the administration department in several and critical activities and required controls.
Key responsibilities:
Support the administration department with office and services issues including maintenance
Assist the administrative coordinator build up the administrative procedures and processes
Elaborate and maintain the office check list on a daily basis within the aim to make the necessary arrangements to keep the office in order and working properly
Assist the administrative supervisor with control services contracts such as: parking, cell phones, taxi service, etc.
Responsible for elaborating reports and check list related to administration controls (MAS cards, safety company, contract expiration dates and so on)
Support in events organization
Administrate mobile account and payment aligned with utilization policy as well elaborate managerial monthly reports
Preparation of business cards as requested as well ID card whenever requested by HR
Assist Administrative Coordinator on elaborating a routine to external service to support company (I.e. bank)
Responsible to purchase and keep control of all office supplies as well a check list on a weekly basis
Responsible for contacting suppliers and getting quotation
Responsible for preparation and control of legal documents (GSC's, CWO's, SPSO's, PO's, SO's, etc) SOON IT WILL MOVE TO LOGISTIC DPT.
Assist Administrative Coordinator on the follow up of Visitor's schedule ad Driver's requirements, keeping log filed and organized (transfer for visitors) aligned within company policy. Under supervision orientation
Maintain supply room, filing including the Central Archive System structure
Act as receptionist on her absence
All activities are under direct administrative coordinator
Qualification:
University degree in Administration or equivalent
Desirable with at least 3 years of experience in administrative tasks and expatriates support
Good knowledge of the purchasing processes
Desirable previous experience in Oil & Gas industry
Fluency in Portuguese and English (oral and written) is required
Due to local requirements we are only looking for Brazilian nationals
for this position
Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint)

Excellent written and oral communication skills (Portuguese and English)
